What is ProofPass?+
Software for product obligations in the EU. You keep safety data sheets, declarations of performance and other product documents in one place. ProofPass delivers every version to your customers, gives each product a QR code and archives everything for ten years.
Is it enough to put the PDFs on our website?+
As an addition, yes. As delivery, usually not. Under Article 31 REACH the safety data sheet has to reach the recipient, and every new version has to reach everyone you supplied in the last twelve months. ProofPass sends each version to your distribution list and records who opened it. You enter whom you supplied.
How long does setup take?+
As long as it takes to upload a folder and paste a customer list. We read product, document type and language from the file names. What a file name does not reveal, you correct in the list.
What happens to printed QR codes when a data sheet changes?+
Nothing. A product’s code never changes and always points to the current version. The previous version stays in the archive.
Where is the data stored?+
In the EU: database and files in Frankfurt. For your recipients’ addresses you sign a data processing agreement with one click.
Is ProofPass available in English?+
Yes. Sign-up, the dashboard and the emails to you are in English, and your recipients get their emails in the language you choose for them. The terms and the legal notices are in German, and the German text is the binding one.
How do I cancel?+
At any time, effective at the end of the period, in the dashboard under “Abo”. Your documents stay online on the free plan afterwards, and so does the archive.
Safety data sheet requirements in the EU: is a download enough?+
Usually not. Under Article 31(8) REACH you provide the safety data sheet to the recipient free of charge, on paper or electronically, at the latest with the first delivery. On the widely held reading that means supplying it actively, for example as an email attachment or a personal link. A download area the customer has to search does not on its own usually count as supplying it.

Four things: the manufacturer’s name, postal address and electronic address; for a manufacturer outside the EU, also the responsible person; product identification with an image; and warning and safety information. The warnings and safety information must be in the language of the Member State where you sell.

The digital product passport is an electronic record for a product, reached through a data carrier such as a QR code. Its basis is the Ecodesign for Sustainable Products Regulation (EU) 2024/1781. A duty arises only with a delegated act for your product group, usually followed by at least 18 months of transition. The first passport to apply is the battery passport, from 18 February 2027.

From 18 February 2027, LMT batteries, industrial batteries above 2 kWh and electric vehicle batteries need an electronic battery passport (Art. 77(1) Regulation (EU) 2023/1542). Every battery carries a QR code (Art. 13(6)). Portable batteries, SLI batteries and industrial batteries up to 2 kWh only need the code, which then leads to required information rather than a passport.
